How to Hang Up Your Unofficial Office Apron

Aunt Clara offers practical advice on setting workplace boundaries when being helpful turns into an unpaid second job.

Last updated:

At our small office, I somehow became the designated coordinator for retirement gifts, birthday cards, and the morning coffee pot simply because I stepped up once. It is eating into my actual work hours, and last week coworkers actually complained when there were no donuts on the breakroom table. How can I step down from being the unofficial office den mother without causing hard feelings or seeming uncooperative?

— Over-Volunteered at the Office

Dear Over-Volunteered,

Oh, sweetheart, no good deed goes unpunished, does it? You generously stepped in to lend a helping hand once upon a time, and before you knew it, your colleagues mentally fitted you for an apron and handed you the permanent keys to the hospitality committee.

First, take a deep breath and let go of any guilt. You were hired to do a specific job, not to run a boutique bed-and-breakfast out of the breakroom. When coworkers start grumbling about a lack of free pastries, that isn’t community spirit—that is complacency.

Pass the Baton with a Smile

The trick to stepping down without ruffling feathers is to frame the change as a natural transition toward shared responsibility rather than an airing of grievances. You don’t need to make a dramatic announcement or apologize for not bringing treats. Instead, send a breezy, cheerful email or bring it up at your next staff meeting.

Try something like this: “I’ve loved helping celebrate everyone over the past year, but with my upcoming project workload, I need to hand off the party planning and morning setup. Let’s start a monthly rotation so everyone gets a turn to keep the sunshine flowing!”

Let the Ball Drop Gently

Once you put up a simple sign-up sheet for coffee duty and card-passing, step back completely. This is the hardest part, my dear: if Tuesday rolls around and nobody made coffee or brought donuts, let the breakroom stay empty. Do not swoop in to rescue the situation.

When folks realize the breakroom magic was actually fueled by your personal effort, they will either step up and take a turn, or they will learn to grab their own coffee on the way in. Either way, your time and energy will be back where they belong—on your own desk.

Warmly,

Aunt Clara
